Smart office – desk and room booking for an intelligent workplace

Office building lobby with a vertical information screen and an intercom panel – smart office

A smart office is one where employees book desks and rooms from their phones and the meeting room gets itself ready for the meeting – which requires many systems to be connected into a single whole. PROAV designs Smart Office solutions as an integrated system: room and desk booking, room control, video conferencing, wireless presentation and information screens. We make sure that equipment and software from different manufacturers work together and are managed from one place. We have launched offices like this for Fracthon and GATX Rail Poland, among others. The organisation gains better-used space and simpler day-to-day work in a hybrid model.

What your organisation gains by choosing PROAV

One integrator for all systems. We design and connect solutions so that employees use them intuitively and the IT department manages them centrally.

Data on office utilisation. Booking systems and sensors provide information that helps you plan space and the number of workstations.

Phased deployment. We prepare the infrastructure so that further functions can be added without repeat installation work.

Smart office system – what does it consist of?

Room and desk booking, centralised control of devices and building systems, video conferencing, wireless presentation and Digital Signage. We tailor the scope to the size of the office and the working model.

Desk booking (hot desking) and room booking

Employees book desks and rooms from an app, their calendar or panels, and availability information is updated in real time. Occupancy sensors can automatically release unused bookings.

The solution works well for organisations using a hot-desking model, where there are fewer workstations than employees.

System integration at the Fracthon office

At the Fracthon office we integrated projection, wireless presentation, interactive displays, zoned sound and room booking into one system controlled from portable touch panels.

The devices report on their operation, updates and faults, so the IT department can manage them remotely.

From design to everyday operation

We prepare a design that takes into account the placement of technology and the interior layout, and during construction we coordinate our work with the architect and the contractor.

After deployment we train users and provide support, expanding the system as the organisation grows.

Frequently asked questions about smart offices

Click a question to see the answer.

What is a smart office?

An office where room and desk booking, room control, video conferencing, wireless presentation and information screens work as one system managed from a single place. We tailor the scope to the size of the office and the working model.

How does desk booking work?

Employees book desks from an app, their calendar or panels, and availability is updated in real time. Occupancy sensors can automatically release unused bookings. We describe more features in the article Room booking software – 6 features.

Who is hot desking for?

For organisations working in a hybrid model, where there are fewer workstations than employees. A booking system lets you plan when teams are in the office and make better use of space.

Does a smart office work with Microsoft 365?

Yes. We integrate the system with Microsoft 365 or Google Workspace and with building systems, so employees book rooms and desks in the calendar they already know.

Can a smart office be deployed in phases?

Yes. We prepare the infrastructure – the network and PoE power for panels and sensors – so that further functions can be added without repeat installation work.

What data does a smart office provide?

Booking systems and sensors show the actual use of rooms and desks, which helps you plan space and the number of workstations.

Is there a charge for a smart office quote?

No. An initial quote and consultation with a PROAV engineer are free of charge. To prepare a quote we need the office floor plan, the number of rooms and desks, the working model and information about which systems the organisation already uses.

What we agree with the client before deployment

What working model does the organisation use? Fixed workstations, hot desking or hybrid working.

Which systems are already in place? Calendars, network, access control, building systems.

Who will manage the system? Office administration, IT or an external service provider.

What is the expansion plan? Phased deployment according to needs and budget.

For the technical team: what we pay attention to

  • Integration with Microsoft 365 or Google Workspace and building systems
  • Network: device segmentation, PoE for panels and sensors
  • Centralised device management and monitoring
  • Scalability: licences and infrastructure for future phases

Planning a Smart Office?

We design integrated systems for company offices. We start by analysing your working model and the systems already in place in your organisation.
