TM Toys

TM Toys conference room with a projection screen and shelves full of toys

TM Toys is a manufacturer and distributor of licensed toys and its own product lines, present in almost all retail chains in Poland and in markets such as Hungary, the Czech Republic and Romania. The company's own designs are produced in China and other Far Eastern countries, and the new conference room at its headquarters was to become the place for remote meetings between employees and business partners. In this room PROAV deployed a Microsoft Teams Rooms video conferencing system, projection that copes with daylight, and wireless presentation.

Project challenge

The room had to serve both meetings scheduled in advance and ad hoc calls, without anyone having to bring in a computer. Two glass walls let in a lot of daylight, and the client expected presentations and participant lists to be legible in all conditions, with very good sound quality.

We have encountered similar conditions in several hundred meeting room projects, so we started the equipment selection with projector brightness and the way the room would be operated, and only then matched the video conferencing and wireless presentation to them. We planned the sound system separately, because for the client the audio quality of calls was just as important as the picture.

AV system requirements

Ready to use at any moment. All the equipment needed for video conferencing was to be located in the room and start up without connecting any additional computers. The client specified Microsoft Teams as its remote meeting platform.

A legible image in a bright room. A projector with too little brightness would not display sufficiently visible content in a room with two glass walls. Brightness was therefore the key selection criterion.

Presenting from any device. Employees were to share content wirelessly and, when needed, also from a laptop connected by cable.

Projection and wireless presentation

Brightness matched to daylight. We selected an NEC P554U projector with WUXGA resolution and 5300 ANSI lumens of brightness, which displays a clear image even on a sunny day. The projection system is completed by an Adeo Professional roll-down screen from Adeo Screen.

Two ways to display content. The Kramer VIA GO wireless presentation system transmits HD-quality images without any cables. A laptop or workstation can also be connected with an HDMI cable to the connection box in the conference table.

Video conferencing in Microsoft Teams

A Microsoft Teams Rooms kit. We built the video conferencing system on a Poly kit with a mini PC as the central unit, so meetings run in the Microsoft Teams Rooms application, as the client required.

A camera that covers the whole room. The Poly EagleEye IV pan-tilt camera with 12x optical zoom can be controlled vertically and horizontally, allowing it to show both the whole table and the person speaking. We extended the kit with a Poly Trio 8800 conference phone.

Room operation and sound system

One-touch meetings. The system is operated from a touch panel on the table. To join a scheduled meeting, you simply press the "Join" button, and the same interface lets you search for internal and external users and start an ad hoc call.

Clear sound from remote participants. We installed two Ecler loudspeakers in the ceiling to provide sound in the room during video conferences. Participants can clearly hear the people at the other end of the call, which makes conversations run more smoothly.

Outcome

TM Toys employees start Microsoft Teams video conferences directly in the room, without bringing in or setting up computers. Meetings scheduled in advance and ad hoc calls with partners are started from the same panel on the table. The room does not need a user's computer, because a mini PC integrated with the Poly kit acts as the central unit.

The bright projector keeps presentations and the participant list legible despite the glass walls, and wireless presentation shortens meeting preparation. When a wired connection is needed, the laptop is plugged into the HDMI connection in the table. The ceiling sound system ensures good speech intelligibility throughout the room. All the equipment stays permanently in the room and is ready to use at any moment.

PROAV's scope of work covered selecting equipment for the room conditions, installing the projector, screen, camera and loudspeakers, and commissioning the Microsoft Teams Rooms kit. We took a similar approach, selecting equipment for a bright interior and its fit-out, in the meeting rooms at the offices of Siemens.
