Biamp Workplace – centralised conference room management

Conference room with a display on a stand and a long table with armchairs – PROAV project for PSI Pharma

Organisations with dozens of conference rooms across several buildings or branches need a single place from which they can see the status of all their audio and video systems. We know such environments from projects in which PROAV designed systems for many floors and rooms at once – they include Biamp sound systems and Evoko room booking panels. The Biamp Workplace platform brings room design, deployment, monitoring and automation together in one cloud environment, and our team turns it into a specific configuration for each organisation. The client receives a working system: equipment, platform, integration with booking and control, and service support from a single partner.

What your organisation gains by choosing PROAV

Deployment based on a review of existing rooms. Before configuring the platform, we check which devices in the rooms can be brought into Biamp Workplace, which need upgrading and which rooms are the best place to start. This allows the deployment to proceed in stages, without interrupting the use of the rooms.

The platform as part of a complete system. We connect Biamp Workplace with the room booking system, room control i video conferencing. The room prepares itself for the meeting, and the IT department sees its status from a single dashboard.

One partner from design to service. We work with general contractors, design offices and architects, so the installation is coordinated with the other works in the building. Once the system is up and running, the client has our service department at their disposal, and remote access to devices via the platform shortens response times to service requests.

Biamp and Evoko in PROAV projects

Evoko room booking, which is now part of the Biamp Workplace platform, operates in our clients' offices as part of extensive audiovisual systems.

PSI Pharma. In the new headquarters in central Warsaw, we designed an AV system covering three floors and more than a dozen rooms: with room control, video conferencing and Evoko room booking panels at the room entrances.

GATX Rail Poland. In the office at The Warsaw Hub, we deployed a system combining seven technologies, including Evoko room booking and control systems. The client's priority was to make managing the installation as simple as possible.

Sound systems for offices and conference rooms. In our commercial sound system projects we use equipment from Biamp, among others, and process audio in DSP processors managed from user interfaces or the room control system.

The platform consists of modules that we select to suit the stage and scale of the deployment.

Room design – Workplace Designer. We design rooms on floor plans, based on templates ranging from small meeting rooms to large conference rooms. The design remains linked to the system throughout its service life, so further locations are created to the same template.

Monitoring and remote management – Workplace Command. All rooms are visible on interactive floor plans, and the system warns of faults in advance. The support team can remotely adjust audio levels, restart a device or restore a room's settings before a meeting.

Room automation – Workplace Control. We prepare room scenarios without complex programming and, in demanding projects, extend them with advanced logic. The solution scales from a single room to an entire building.

Booking and utilisation data. Evoko room and desk booking shows which rooms are overused and which stand empty – the basis for decisions on upgrading and optimising office space.

Applications by sector

Business / Corporate. In companies with a head office and a network of branches, we implement a common room standard and centralised monitoring across all locations, and use booking data to plan office space.

Public administration. In public offices and ministries, we shorten response times to faults in council chambers and meeting rooms. We restrict the visibility of booking information where procedures require it.

Industry, Energy and Transport. In companies with plants and branches in different regions, meeting rooms operate in many locations at the same time. Centralised monitoring allows the IT team at head office to respond to faults without travelling to the site, and common room templates make it easier to bring new locations online.

How we choose the scale of the solution

Individual meeting rooms. In smaller offices we start with monitoring and fault notifications, which the manufacturer provides at no extra cost, complemented by room booking.

Conference rooms and boardrooms. Where the reliability of every meeting matters, we combine monitoring with remote management and room automation.

Multi-site organisations. Across multiple buildings, we deploy the full platform: common room templates, centralised monitoring of all locations and space utilisation analysis.

What we agree with the client before deployment

What equipment is currently in the rooms? The platform supports more than 50 Biamp solutions. We bring older devices in via Workplace Bridge, and confirm the range of available features during the room review.

How should the platform connect to the organisation's network? Workplace Bridge allows the AV network to remain isolated while still using cloud services. We agree the connection architecture and security rules with the IT department before deployment.

Which rooms do we start with? Together we identify the rooms that matter most to the organisation – usually the boardroom and the most frequently booked conference rooms – and roll out the platform there in the first stage.

Who will be responsible for day-to-day monitoring? We agree which teams will receive alerts, access to remote actions and room utilisation reports, and what scope of support our service department will take on.

For the technical team: key specifications

  • Biamp Workplace: cloud platform – monitoring, alerts, updates, Evoko room booking and room utilisation analytics.
  • Workplace Command: remote level adjustment, device restart and room reset (Tesira).
  • Workplace Control: control on TesiraFORTÉ X DSP, no-code design, Lua scripting.
  • Workplace Bridge: AV network isolation and connection of older devices.

Centralised room management in your organisation

We begin every project with a review of the rooms and an analysis of how your teams work, and finish with a working system – with the platform, room booking and control.
