Expondo Warsaw
The Expondo technology centre is located in Warsaw, at the junction of Marszałkowska and Świętokrzyska streets. The company manufactures and distributes niche products for sectors including industry, automotive and medicine, and its teams also work in Zielona Góra and Berlin. After our deployment at the head office in Zielona Góra, the client entrusted PROAV with equipping its new branch in the capital. Here we installed an LED screen in the lobby, video conferencing windows in the co-working area, and projection and video conferencing in two conference rooms.
The Warsaw branch was to use solutions similar to those that had proved themselves in Zielona Góra, so that staff in all offices could connect with each other in the same way. A repeatable room standard across multiple locations was the starting assumption for the project. We analysed which elements of the head office equipment could be replicated and which had to be adapted to the layout of the new office.
At the same time, the lobby needed a bespoke solution: a large screen was to attract guests' attention and display advertising messages without disrupting the interior design.

Quick start for remote meetings. The client wanted equipment that would allow a video conference to start without any technical preparation and provide good conditions for calls with other branches.
Rooms as video conferencing bridges. Two conference rooms were to enable easy, fast communication with the teams in Zielona Góra and Berlin, which had previously been equipped with similar AV solutions.
A screen that fits the interior. The lobby screen had to be large enough to carry messages for guests while blending in with the design of the branch's prestigious reception space.
A screen built into the wall. In the lobby, the showpiece of the Warsaw branch, we installed a 4-metre-wide LED screen with a 2.5 mm pixel pitch. To keep the design consistent, we enclosed it in a wooden surround, so the screen forms a natural part of the wall.
Cooling matched to the enclosure. The enclosure ruled out devices ventilated through side vents. We therefore selected a front-cooled LED screen, cooled through the module surface, which can operate inside a closed wall structure.
Calls without booking a room. Next to the lobby we set up two video conferencing windows with Poly RealPresence Group 310 video endpoints, Toshiba displays and Panphonics directional loudspeakers. Staff connect with other branches ad hoc, without scheduling meetings or booking rooms.
Three offices in one communication system. Following the deployment, video conferencing stations work in all three Expondo offices: Zielona Góra, Berlin and Warsaw. The directional loudspeakers aim the sound at the people on the call, limiting how much can be heard in the rest of the area.
One-button connection. We equipped the conference rooms with Poly Trio 8800 conference phones with Visual+ modules. To join a meeting, users simply press the “join” button on the device's screen.
Ultra-short-throw projection. The display system consists of Optoma W320UST projectors and Purelink MediaHUB table connection boxes, to which participants connect their laptops. The equipment is completed by an Edbak TR51 mobile floor stand.
Staff at the Warsaw branch start a video conference with a single button and can also talk to colleagues in other offices outside the meeting rooms, in the video conferencing windows of the co-working area. Ad hoc meetings require no booking or prior arrangement. Similar room operation in Warsaw and Zielona Góra makes life easier for people who use both offices.
The LED screen in the lobby carries advertising messages for the company's guests, and the wooden surround ensures that the device blends in with the interior. The front-cooled screen design made it possible to combine aesthetic requirements with the technology. Visitors to the branch see the screen from the entrance, and the content is legible from the whole reception area.
Transferring proven solutions between locations is work we know well: over 15 years we have delivered projects for more than 1,500 clients, and in Warsaw we drew on the experience from the first stage of our cooperation, described in the project Expondo Zielona Góra. As a result, both offices share one equipment standard, and the people responsible for IT look after the same types of devices in each.
