Bankowy Fundusz Gwarancyjny
Bankowy Fundusz Gwarancyjny (BFG, the Bank Guarantee Fund) is the institution that safeguards the Polish financial system and protects customers' savings if a bank fails. BFG monitors banks on an ongoing basis and, where there is a risk of insolvency, provides assistance and carries out restructuring. At the Fund's headquarters on Skorupki Street in Warsaw, PROAV designed and delivered an AV system covering the boardroom, smaller meeting rooms and room booking.
The existing equipment no longer met the client's needs. In the large boardroom, the cameras did not frame people sitting at the far end of the room accurately, and the changing table layout called for an audio system that picks up voices from every seat. The video conferencing system also had to work with the Asterisk telephone exchange used in the office.
Over 15 years we have equipped many boardrooms, so here too we approached the task in stages: first we tested solutions in the boardroom, then we prepared the small rooms for the Bring Your Own Device model that BFG was just introducing.
Solutions used:

Industries:

The speaker always in frame. The boardroom needed a device that would automatically frame the speaker without a noticeable loss of image quality when zooming in, including for the people sitting furthest from the camera.
Sound independent of the table layout. The layout of the conference tables changes from meeting to meeting, so the microphones could not be assigned to fixed seats. For discussions in larger groups, both in the room and online, the client also wanted a wireless microphone system.
Clear presentations and BYOD working. The boardroom was to receive a new projection system, and the smaller rooms video conferencing kits that work over USB with any computer.
Automatic speaker tracking. After a series of tests we used Poly Eagle Eye Director II cameras with the Visual Pro module. The system tracks and automatically frames the speaker, and the 12× optical zoom and Full HD resolution let participants see their facial expressions and body language.
Voices from every part of the room. We installed two Poly ceiling microphones that pick up sound regardless of the table arrangement. Calls are started and managed from a Poly Trio 8800 conference phone with an intuitive touch interface.
Compatibility with infrastructure and platforms. We integrated the whole system with the client's office infrastructure. It works with virtually any communication platform, including Zoom thanks to Zoom Room Connector SIP/H.323 connections.

Microphones for 16 participants. For discussing documents and graphic materials we deployed a Shure MXW series wireless microphone system for 16 people. Automatic frequency management eliminates interference, and the speaker's voice is clear throughout the room.
An image legible in daylight. Tables, documents and charts are displayed by an NEC P605UL laser projector with a brightness of 6,000 ANSI lumens, and the projection system is completed by a Kauber screen. The high brightness allows materials to be presented without fully darkening the room.
A meeting from your own computer. In the smaller conference rooms we installed Poly Studio USB video bars. The client chose them for their simple installation and minimal cabling, and the devices work as soon as a laptop is connected.
A screen for teamwork. We equipped each room with an LG UL3G series display designed for online meetings and collaborative work on materials. Employees bring their own computer and start the meeting without worrying about hardware compatibility.

Room availability visible from the corridor. Outside each room we installed a 10-inch EVEO LOBO touch panel whose LED lighting shows whether the room is available. We networked the panels with the EVEO URVE server software.
Booking from Outlook or the panel. Staff book rooms from their Outlook calendar or directly on the screen. The system also allows catering to be ordered, attendance to be confirmed, rooms to be searched by attributes, and messages to be displayed when the panel is not in use.
BFG's board members hold in-person and remote meetings in a single room in which the speaker image, microphones and projection work regardless of the table layout. Remote participants see the presenter in frame and hear them clearly. As the client required, the video conferencing system works with the office telephone infrastructure.
Discussions of documents run without interference, because the Shure wireless microphones select their operating frequencies automatically. The bright laser projector allows tables and charts to be shown in moderate daylight, so the board does not have to darken the room for presentations.
The smaller rooms support the Bring Your Own Device model: employees connect their own laptop and immediately use the camera, microphones and display. The booking system brings order to room use and makes it easier for staff to adopt the new way of working.
The choice of equipment was preceded by tests in the boardroom, and we integrated every element with the client's office infrastructure. We have also used EVEO LOBO panels at the Fracthon office in Kraków.
